As our business continues to expand into new markets, we are seeking an experienced Project Administrator (Client Manager) to coordinate multiple signage projects from initial client consultation through to successful project completion.
This is a senior professional position responsible for project planning, commercial coordination, client relationship management and operational administration, ensuring projects are delivered safely, efficiently, on schedule and within budget.
About the Role
Reporting directly to senior management, the Project Administrator (Client Manager) is responsible for planning, coordinating and administering multiple concurrent signage projects throughout the complete project lifecycle.
The role requires responsibility for coordinating project schedules, allocating resources, monitoring budgets, preparing estimates, managing client communication, coordinating production and installation activities, maintaining project documentation and ensuring compliance with company procedures and workplace legislation.
The successful applicant will play a key role in ensuring commercial success while maintaining exceptional client service and operational excellence.
Key Responsibilities
Project Planning & Administration
- Plan, coordinate and administer multiple signage projects from commencement through to completion.
- Develop detailed project schedules and implementation plans.
- Coordinate project activities across design, production, procurement and installation teams.
- Monitor project milestones and ensure deliverables are achieved within agreed timelines.
- Maintain comprehensive project documentation and administrative records.
- Monitor project performance and recommend corrective actions where required.
- Coordinate internal resources and external contractors to optimise project delivery.
- Prepare project reports for management and clients.
Client Relationship Management
- Manage client enquiries from initial consultation through to project completion.
- Interpret client specifications and project requirements.
- Develop and maintain strong professional relationships with clients, consultants and stakeholders.
- Coordinate client meetings, project updates and approval processes.
- Manage project variations and changes to project scope.
- Resolve project issues professionally while maintaining exceptional customer service.
Commercial Administration & Estimating
- Prepare accurate quotations, cost estimates and project proposals.
- Assess project specifications, labour requirements, materials and production costs.
- Monitor project expenditure against approved budgets.
- Maintain agreed gross profit margins.
- Coordinate purchase orders, project costing and final invoicing through Xero.
- Assist management with commercial planning, pricing strategies and profitability analysis.
Production & Design Coordination
- Coordinate artwork development and client approval processes.
- Prepare production-ready artwork for manufacture or approved external suppliers.
- Liaise closely with production personnel to ensure technical accuracy.
- Coordinate manufacturing schedules and installation programs.
- Ensure quality standards are maintained throughout project delivery.
Site Coordination & Compliance
- Conduct site inspections and site measurements where required.
- Prepare Job Safety Analyses (JSA) and Safe Work Method Statements (SWMS).
- Ensure compliance with Workplace Health and Safety legislation and company procedures.
- Maintain accurate compliance documentation throughout each project.
- Coordinate installation activities to minimise project risk and maximise efficiency.
Business Development
- Identify opportunities to expand existing client relationships.
- Develop new business opportunities across emerging industry sectors.
- Build relationships with architects, builders, developers, consultants and commercial clients.
- Support strategic growth initiatives and diversification into new market segments.
- Contribute to the ongoing development of Sunquest Signs' client portfolio.

Qualifications & Experience
Applicants should possess
- A relevant tertiary qualification in Project Management, Construction Management, Business, Engineering, Design, Manufacturing or another closely related discipline, or equivalent relevant industry experience.
- Minimum three years' experience coordinating commercial projects in a similar environment: signage, manufacturing, construction, engineering or a related technical industry.
- Demonstrated experience coordinating multiple concurrent projects.
- Experience preparing commercial quotations and project estimates.
- Experience coordinating project schedules, budgets and resources.
- Experience liaising with clients, contractors and suppliers.
- Experience using project management software.
- Experience using Xero is highly regarded.
- Current Australian Driver's Licence or ability to obtain one.
